We are a marketing agency, not a healthcare provider
ClinicVolume runs marketing — SEO, advertising, websites, reputation and content — for medical practices. We are not a clinic, we do not treat patients, and nothing on this website or in the forms below is designed to collect patient health information. If you're a patient looking for medical advice, this is the wrong website; please contact the practice directly.
Everything below is about the ordinary business data collected through our own contact forms — from practice owners and managers considering our services, not from their patients.
The two forms on this site
A detailed enquiry on /contact/, and a shorter "free practice audit" request that appears inline on several other pages. Both are handled by the same code on our server. Neither creates a login or adds you to a mailing list.

Your browser and our server also record the ordinary technical details any web request carries — an IP address, a browser identifier, a timestamp.
Keeping bots out, without a third party
Both forms are checked server-side by two methods that never leave our own server: a field that sits off-screen and only a script would ever fill in, and a short arithmetic question tied to a signed, short-lived code rather than a database row. No reCAPTCHA, no third-party bot-detection vendor watching visitors to this site.
What happens after you submit
A clean submission is emailed to whoever handles enquiries, and separately written to the server's own activity log as a backup — email occasionally fails silently, and the log entry is what keeps your enquiry from being lost when that happens. We use it only to reply to you; we don't rely on it as consent to add you to any marketing list.
Who else sees it
Our hosting provider, which runs the server. And a transactional email relay that carries the notification to our inbox, seeing it only in the course of delivering it — the way a courier sees a package without opening it. Nobody else receives it; it's not sold, rented or shared with any third party.
Cookies and analytics
WordPress sets a cookie only for someone logging in to administer the site, not for a visitor filling in a form. Nothing here is used for advertising or cross-site tracking of visitors to this website.
No analytics tag is currently loaded. The theme only wires one up if a measurement ID is deliberately configured, and none currently is.
How long we keep it, and how it's protected
An enquiry that becomes a client relationship is kept as part of that record. One that goes nowhere is cleared out once it's clearly finished with. Ask sooner and it's deleted sooner. Everything runs over HTTPS, form submissions are validated server-side rather than trusting the browser, and every form carries a token that stops it being submitted on your behalf from elsewhere. Please don't put anything sensitive into either form — if it needs to reach us privately, ask first and we'll find a better channel.
Your rights, and where we operate from
Local law where you're writing from most likely gives you rights over data held about you — to see it, correct it, have it deleted, or raise a complaint. Get in touch and we'll act on it. We're based in India; if you're writing from elsewhere, your message crosses a border to reach us the way any international email does.
A few short ones
Not aimed at children. This is a business-to-business site for practice owners and managers, not children, and we don't knowingly collect anything from them.
Other sites. A link off this site leads to a destination with its own privacy practices; this policy covers our own pages only.
Changes. This page changes when what we do changes, and the date above moves with it.
Not legal advice. A plain description of what the site does, not a substitute for advice from a lawyer in your jurisdiction.
